HVAC Lead Follow-Up Automation

HVAC automation should reduce the time between inquiry and human action while respecting the difference between an emergency service request, a sales estimate, and long-term maintenance outreach.

Separate urgent service from sales leads

Do not route every form submission into the same nurture. Emergency service requests, replacement estimates, maintenance inquiries, and job applications need different owners and timing.

New lead workflow

  1. Capture source and request type.
  2. Assign the correct team or owner.
  3. Send an expected acknowledgment where permitted.
  4. Create a human response task.
  5. Stop generic follow-up when booked or disqualified.

Estimate follow-up

Once an estimate exists, use reminders that reflect the actual decision cycle. Record outcome reasons so management can distinguish price objections, timing, competition, no-contact, and poor fit.

Seasonal reactivation

Maintenance reminders and reactivation campaigns can be useful, but the business must honor consent, frequency, jurisdiction, and channel rules. Keep reactivation lists separate from active sales opportunities.

Review requests

Trigger review outreach at a verified service-completion point, not simply when a salesperson changes a pipeline stage.
